Records Retention Schedule

DePaul’s Records Retention Schedule is an official policy document that defines standard, legally approved retention periods and disposition instructions for official records regardless of storage media. In other words, the DePaul’s Records Retention Schedule applies to official records, including paper records, electronic records, and microfilmed records. The purpose of the university Records Retention Schedule is to ensure that:

  • official records are maintained for as long as they are needed to satisfy legal, regulatory, and operational requirements.
  • obsolete records are disposed of in a systematic and controlled manner.
  • records of continuing value are identified for preservation.

    The Record Group Number is a unique identifier for each record group listed on the Records Retention Schedule.

    The Responsible Department is the department responsible for the retention and disposition of the official record described on the Records Retention Schedule. If you do not see your department listed on the Records Retention Schedule, try looking for your records under Record Group or Functional Area.

    The Record Group is the category or description of the record. To view the Schedule by Records Group, choose the Alpha Index

    Functional Area is the highest level business or university function under which records fall. On DePaul’s Record Retention Schedule there are 12 Functional Areas consisting of Institutional Records, Student Records, Personnel Records, Financial Records, Tax Records, Grant and Award Records, Athletic Records, Donor Records, Legal, Risk Management, and Occupational Health and Safety Records, Medical Records, Miscellaneous, and Publications.
